NOTICE OF THE ANNUAL MEETING

In accordance with the Spring Hill Neighborhood Association, Inc.’s Bylaws, the annual
meeting of the association will be held:

Date: September 16, 2021
Time: 7:00 p.m.
Place: Virtual – See http://springhillhoa.net for Online Meeting Link
Purpose: To elect 5 individuals to serve on the association’s Board of Directors


There are 5 board member positions up for election at this time. Each position is for a
term of 2 years. At the meeting, the board will provide a status report on matters of
general interest as part of a standard agenda before moving into the election
procedures.

The Spring Hill Neighborhood Association, Inc.’s Bylaws require a Board to consist of
no less than 5 members. If the requisite number of 5 Board members is not filled
through nominations and voting, the HOA will be turned over to a receivership
with all costs to fulfill that role spread evenly and paid by all residents of Spring
Hill.


Your board of directors urges you to attend this meeting to nominate and elect members
to the board.


Mailbox Replacement Project Info

This post will continue to be updated with information regarding the Mailbox Replacement project. Please check back for the latest updates on schedule, resident responsibilities, etc.

The Mailbox Replacement project will begin the week of August 16th, and will continue for several weeks until all mailboxes throughout Spring Hill are completed. All of the materials have been received, so at this point, the biggest factor in the timeline will be the weather.

Additional Information –

OH 811 (Call Before You Dig) will be throughout the development the week of August 9th in order to flag utility lines in the area around where the mailboxes will be installed. They will start their work on Kenway Blvd.

All dual mailbox posts will be split into single posts and moved adjacent to each resident’s driveway. The distance from the driveway and height of each mailbox will be as consistent as possible – taking into consideration the placement of utility lines, trees, etc. in the area around the driveway.

Our contractor will have a rollaway trash container placed near the end of Kenway Blvd. for the old mailboxes and any other materials.

The mailboxes being installed are 100% vinyl and maintenance free. They include a separate newspaper box and are all a single post construction.

If there is mail in the old mailbox at the time of replacement, our contractor will move it into the new mailbox.

Resident Responsibilities –

Cleaning up of any landscaping, planting of grass, etc. as a result of the mailboxes being replaced. This includes areas that were used for the dual mailbox setup and placed between lots.

All residents will need to affix the numbers on their new mailbox in the designated area ON THE FRONT OF THE MAILBOX DOOR. This is self explanatory and should be able to be followed easily to ensure that all numbers are placed in the same location on all mailboxes.


Passed Amendments Filed w/ Summit County – Mailbox Replacements to Begin 8/16.

The amendments that were passed earlier this year by residents regarding mailbox maintenance, restrictions on leasing/rentals of properties in Spring Hill and tree maintenance were filed with Summit County on July 28, 2021 and are now in place and enforceable for all phases of our development.

With the filing of the amendments with Summit County, the HOA is now able to move forward with the planned replacement of all mailboxes throughout the development. This project will begin on August 16th and should be completed around the middle of September.

A separate post will be made on our website closer to the start of the project that will include more information on the work as well as a few resident responsibilities.

The HOA Board realizes the start of the mailbox replacements is much longer than originally anticipated. Delays in the materials required to start the work as well as legal requirements around validating the voting and filing with Summit county were the two main drivers behind the delay – both of which are behind us at this point allowing the work to begin.
